A prompt is the message you send to the AI tool. Copy the one on this page, put your own details where it asks, and read the answer before you act on it.

What the prompt labels mean

The person didn't share their exact words, so we wrote this from what they described. We haven't tested it, and they didn't use this exact version.

For every new Shopify order, create a matching invoice in QuickBooks with the right customer, products, tags for sales channel, customer type and payment type, and leave it open so it can be matched when the Shopify payout posts to the bank feed. Here are examples of how a correct invoice should look.

Sends the Recreated prompt shown above. ChatGPT and Grok open with it filled in, and ChatGPT may send it straight away. Gemini and Claude open empty, so we copy the prompt for you to paste. Every button also copies it.

Our rewrite with extra checks. The poster didn't test it.

Before you start, ask me 1–3 short questions about the details below and wait for my answers. Once I've answered, confirm the plan in one line and run the whole task start to finish.

Goal: Match every online sale to a correct invoice in my accounting software so the reports are accurate.

Questions to ask me first:
- Which store and accounting platforms do you use?
- Which tags or categories do your reports need?
- Who reviews the invoices before payouts are matched?

Inputs (fill in or confirm):
- Store: [E.G. SHOPIFY]
- Accounting: [E.G. QUICKBOOKS]
- Tags: [CHANNEL, WHOLESALE / RETAIL, PAYMENT TYPE]
- Example invoices: [2–3 CORRECT EXAMPLES]

Rules:
- Never mark an invoice paid until the payout is matched in the bank feed.
- Skip and list any order you can't map to a customer or product.
- Don't create duplicate invoices for the same order number.
- Log every invoice created with its order number.

Checkpoint: Create three invoices and stop so I can check them against the orders.

If you get stuck: If a payout covers several orders, list the orders and amounts for me to confirm.

Verify before you finish: Invoice totals match the order totals, and the count matches the number of orders.

Output: Invoices in the accounting software plus a daily log: order, invoice, amount, tags, match status.

Done when: I can pull sales reports by channel, customer type and payment type without manual work.

Outcome

Aaron S. of RoamRig, a small business, found the QuickBooks and Shopify integration buggy and poor at carrying product-level detail into QuickBooks to match Shopify payouts, so customer and product reports took a lot of cross-platform work. After a few hours of teaching Claude what was wanted in QuickBooks for every Shopify transaction, Claude now creates an invoice with the correct customer, tags and other details, which waits for the Shopify payment to post to the bank record and then gets matched. That gives full QuickBooks reports broken down by sales platform, wholesale versus retail, and payment type, something that used to be done manually and took literally hours each time. Aaron plans to tie in the business's custom ERP/MRP to track inventory and, eventually, cost of goods sold and gross profit per invoice line.
