Replace a $400-a-month bookkeeper stack with Claude and Claude Code

WorkedEvidence: Described by posterPosted Last checked

Dee left a $400/month QuickBooks bookkeeper stack after Claude and Claude Code built a local ledger and P&L prompts.

A prompt is the message you send to the AI tool. Copy the one on this page, put your own details where it asks, and read the answer before you act on it.

What the prompt labels mean

The person didn't share their exact words, so we wrote this from what they described. We haven't tested it, and they didn't use this exact version.

Here is how my design business takes payments, tracks taxes and what I need for my accountant. Help me leave QuickBooks: tell me what to export, build a master bookkeeping spreadsheet with tabs for recurring expenses, unclear categories, quarterly summaries, taxes collected and multi-currency transactions, then give me Claude Code prompts to update the ledger from new invoices and receipts.

Try this in:

Sends the Recreated prompt shown above. ChatGPT and Grok open with it filled in, and ChatGPT may send it straight away. Gemini and Claude open empty, so we copy the prompt for you to paste. Every button also copies it.

The source used Claude and Claude Code, which can take actions on your computer or in a browser. These are general chat tools, so results may differ, and a normal chat may only give you a plan.

Opens in a new tab. We don't see what you send.

Optional stronger version

Before you start, ask me 1–3 short questions about the details below and wait for my answers. Once I've answered, confirm the plan in one line and run the whole task start to finish.

Goal: Replace a confusing bookkeeper-and-QuickBooks setup with a local ledger I can update with Claude Code.

Questions to ask me first:
- What payment processors and currencies do you use?
- What reports does your accountant need each quarter?
- Which expenses were missed or miscategorized before?

Inputs (fill in or confirm):
- Business type and currencies: [NOTES]
- QuickBooks exports: [FILES]
- Recurring expenses: [LIST]
- Tax items to track: [LIST]

Rules:
- Build one master spreadsheet with clear tabs.
- Flag unclear categories instead of guessing.
- Keep files local and editable by me.
- Give copy-paste Claude Code prompts for common updates (mark paid, add expense, P&L).

Checkpoint: Show the tab layout and sample rows before importing all history.

If you get stuck: If an export column is ambiguous, ask me before mapping it.

Verify before you finish: Reconcile a sample month's totals to the QuickBooks export before go-live.

Output: Export steps, master workbook structure, and a short Claude Code prompt cheatsheet.

Done when: I can update books locally without the old $400/month stack.

Outcome

Interior designer Dee of Spaces by Dee hired a bookkeeping company and QuickBooks in January 2026, then still felt overwhelmed and was paying about $400 a month for books that did not feel understandable. Dee described multi-currency payments, taxes to track and tax-season needs to Claude, exported QuickBooks data, and had Claude build a master spreadsheet with tabs for recurring expenses, unclear categories, quarterly summaries, taxes collected and currency. Dee then installed Claude Code on the computer, pointed it at a local bookkeeping folder, and used prompts such as marking invoices paid, entering expenses, and generating monthly or quarterly profit-and-loss reports from uploaded PDFs and exports. Dee dropped the bookkeeper stack for a Claude Pro subscription at a fraction of the cost and says the books finally make sense.
